The following will guide an attendance/PEIMS office to manage the Absence Reporting System – App.  The purpose of the App is to allow parents to submit a student absence via the Parent Portal at anytime.  The hope is that we reduce phone, message, and email notice.  The hope is that you receive better information because it is clear with accurate information.  With the process, we hope that it frees up time and effort to input absence and complete other tasks in a more timely manner.

Process:

  1. Login to the SSO

  2. Search for Student Reporting Absence:

  1. The opening screen is for the entry of an absence.  This can be completed by the office as they receive phone calls, email, or messages.

  2. You will want to click on Reports to manage the Student Absence Reporting App.

  1. Once in Reports, you will use the drop down to select the Case or program you want to manage (Report a Student Absence).

  1. You will see the following Page:

Contents contain:

a.    Program you are in (Case Select)

b.    Select School Year (Remember that the year we are in at the end of the school year)

c.    Date Range – used for Reports

d.    Search – to pull specific data and run reports

e.    Blue Buttons:  Allow for a quick click to pull that type of absence only.

f.     Processing Area – Lists all of the records to be managed.

g.   Column headings

h.   Print the individual record

i.    Delete the button

j. Processing button – allows multiple people to be in the program but once a person is working on a

record, another person cannot.  You can also release the record back to the general list to be dealt with

later or by another person.

k.   Note button:  You can enter any relevant notes for the absences.

  1. Click on the Start Processing Button:  It notifies any other user to see you are working on this record.  You are able to return it to the general list by clicking Continue Working Button.  Once you enter the information into e-school and make any notes as appropriate.  Once done you will click Finish Processing and the record will be automatically archived but retrievable.

Reports:

  1. The reports can be run several ways.

a.       You can select a date or date range

b.       You can select a type of absence

c.       You can select an individual

d.       You can select a date, type, and/or individual.

  1. Way to receive the report is with the standard report.

a.       Click on the print button by the date range.  Generic Report

b.       Click on the Table by the print button, click and turn Green then press the print button.

c.       Export to Excel * Best for PEIMS Report

  1. Additional Buttons

a.       Archive button – able to pull up records already processed.

b.       View Deleted Reports – able to recapture past reports

c.       Delete – Delete a Report

  1. Also, you have the ability to remove rows or columns by clicking on the “x”.
